How to write a resignation letter (with example) and deliver it signed

·5 min read

A resignation letter is the document in which you tell your employer you're ending the employment relationship by your own choice. It's short, but it matters: it sets the date you leave and proves the resignation was voluntary, which counts when calculating your final settlement.

What it should include

Place and date. Who it's addressed to (your manager or HR). Your full name and job title. A clear statement that you're resigning voluntarily. The effective date of your last day. A brief thank-you (optional but recommended). Your signature.

You don't need to explain your reasons. If you give them, keep it short and professional: the letter stays in your file.

Example

"[City], [date]. Dear [manager or HR name]: I hereby inform you of my voluntary resignation from my position as [title] at [company], effective [last day]. Thank you for the opportunity and everything I've learned in this time; I'm available to help with the transition. Sincerely, [full name], [signature]."

Notice period

Many contracts and labor laws require advance notice. The period varies by country and contract, so check your employment contract before setting the effective date. Giving notice in time also makes for a good exit and a good reference.

Delivering it signed (remotely too)

Ideally there's a record of when you delivered it and that the company received it. If you work remotely, signing it electronically solves that: you sign and, if you like, so does the HR person as acknowledgment of receipt. Both keep the same PDF, with the date and time of each signature on the certificate.

With Firmiu you can send it on the free plan (3 documents a month), and paid plans include a resignation letter template that generates the document with your details.

Frequently asked questions

What should a resignation letter say?

Place and date, who it's addressed to, your name and title, that you're resigning voluntarily, the date of your last day and your signature. A brief thank-you is optional; explaining your reasons isn't necessary.

How much notice should I give when resigning?

It depends on your country and your contract: many labor laws and employment contracts require notice. Check your employment contract before setting your effective last day.

Can I deliver my resignation letter signed electronically?

Yes. Signing it electronically records the date and time of your signature and, if HR also signs as acknowledgment, that the company received it. It's especially useful if you work remotely.
